Staff roles and responsibilities

Production team

These roles work alongside the leadership team during Pulse Alive show week to contribute to the operational and logistical success of Pulse Alive.

Tunnel manager
  • Manage student movement on and off the arena for all rehearsals and performances of Pulse Alive.
  • Liaise with the technical director, dance director, massed cast manager, cast movement manager and their respective teams. to ensure safe, timely and appropriate movement of cast on and off the arena at all times.
  • Manage the placement of props and staging on the arena as allocated.
  • Supervise all student performers whilst they are moving on and off the arena and manage any duty of care, health or safety issues as necessary.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

Assistant tunnel manager
  • Assist the tunnel manager to manage student movement on and off the arena for all rehearsals and performances of Pulse Alive.
  • Manage the placement of props and staging on the arena as allocated in conjunction with the tunnel manager and student crew.
  • Supervise all student performers whilst they are waiting backstage to move on to the arena and manage any duty of care, health or safety issues as necessary.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

Assistant student crew manager
  • Assist the student crew manager in managing the student crew at all times throughout bump-in, rehearsals, performances and bump-out, including ensuring compliance with student placement records as appropriate.
  • Act as a point of contact for all members of the student crew at all times as well as a point of liaison between all technical suppliers and members of the student crew as necessary.
  • Ensure the safety and wellbeing of the student crew at all times, including managing individual student needs as appropriate.

Cast movement manager
  • In conjunction with the massed cast manager, ensure safe, timely and appropriate movement of cast to and from the arena floor and into arena seating at all times across rehearsals and performances of Pulse Alive.
  • Assist in the management of any duty of care, student supervision and student wellbeing issues that arise in the massed cast and liaise with the massed cast manager and Executive Producer to devise solutions to any ongoing concerns.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

Assistant cast movement manager
  • Assist the cast movement manager to ensure safe, timely and appropriate movement of cast to and from the arena floor and into arena seating at all times across rehearsals and performances of Pulse Alive.
  • Bring any duty of care, student supervision and student wellbeing issues that arise in the massed cast to the attention of the massed cast manager and/or the cast movement manager.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

Netball Central rehearsal manager
  • Manage all rehearsals at Netball Central during performance days, including ensuring adequate technical equipment is in place and that rehearsals start and finish on time.
  • Liaise with the massed cast manager to ensure safe, timely and appropriate movement of cast to and from Netball Central at all times during Pulse Alive performance days.
  • Manage any duty of care, student supervision and student wellbeing issues that arise in the massed cast at Netball Central and liaise with the massed cast manager and executive producer to devise solutions to any ongoing concerns.
  • Liaise with on-site external first aid teams to ensure duty of care for all students and staff whilst rehearsing at Netball Central.
  • Work with the massed cast manager to manage the placement of Alphabet Teardrop Banners by the student crew across performance days, ensuring the safe drop-off and pick-up of students before and after the event.

Massed choir manager
  • Manage the massed choir at all rehearsals and performances, including maintaining teacher sign-on sheets, managing and recording any changes in student numbers and acting as the first point of contact for all massed choir teachers throughout the rehearsal and performance process.
  • Manage the seating of the choir at all rehearsals and performances, with the assistance of the massed ahoir and arena eeating teams as necessary and in conjunction with the arena seating manager and the massed cast manager.
  • Manage distribution of choir props and radios in conjunction with the student crew manager and the student crew.
  • In conjunction with the arena seating manager, oversee the work of the massed choir and arena seating team.
  • Manage any duty of care, student supervision and student wellbeing issues that arise in the massed choir and liaise with the massed cast manager and executive producer to devise solutions to any ongoing concerns.

  • Manage the seating of the massed cast within the performance arena ensuring safe, timely and appropriate movement of cast into and out of arena seating at all times across rehearsals and performances of Pulse Alive.
  • Work with the massed choir and arena seating team to manage massed cast use of outdoor spaces around the performance arena during rehearsals.
  • Assist the massed choir manager in the seating of the choir at all venue rehearsals and performances, with the assistance of the massed choir and arena seating teams as necessary and in conjunction with the massed cast manager.
  • Manage any duty of care, student supervision and student wellbeing issues that arise in the massed cast while in arena seating and liaise with the massed cast manager and executive producer to devise solutions to any ongoing concerns.

Massed choir and arena seating team
  • Assist the massed choir manager and arena seating manager in managing the seating of the massed cast, including the massed choir, within the performance arena ensuring safe, timely and appropriate movement of cast into and out of arena seating at all times across rehearsals and performances of Pulse Alive.
  • Assist the arena seating manager in managing the use of outdoor spaces around the performance arena during rehearsals by the massed cast.
  • Assist the massed choir manager in seating the massed choir in rehearsal venues as appropriate.
  • Assist the massed choir manager, student crew manager and student crew in the distribution of choir props and radios as necessary.
  • Assist the massed cast manager and cast movement manager with any additional cast movement requirements within rehearsals and performances.
  • Act as a point of contact for teachers of all massed cast elements within the arena and assist as necessary.
  • Assist in the management of any duty of care, student supervision and student wellbeing issues that arise in the massed cast whilst in arena seating or moving to the arena floor entrance and liaise with the massed choir manager, arena seating manager, massed cast manager and executive producer as appropriate to devise solutions to any ongoing concerns.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

Audio stage manager
  • Manage microphone and in-ear distribution during final rehearsals and performances, in conjunction with the technical director, vocal director, production manager, audio director and external audio supplier team.
  • Manage the use of NSW Department of Education audio equipment in final rehearsals and performances in conjunction with the technical director and the technical and vision manager.
  • Assist the external audio supplier team in any additional technical support roles as required.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

  • Assist with the event bump out as allocated by the operations manager and executive producer.

Assistant technical and vision manager
  • Assist the technical and vision manager in managing NSW Department of Education vision and technical equipment in use at Pulse Alive.
  • Provide mentoring to members of the student crew working as part of the vision team.
  • Provide additional technical and production support as required during final rehearsal and performance period.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

Production office manager
  • Manage all elements of the production office complex during final rehearsals and performances, including acting as first point of contact for all members of the NSW Department of Education and external production teams on arrival.
  • Manage the daily sign-on of all members of the production team.
  • Manage the distribution of comms to staff as required from the production office complex in conjunction with the technical director, operations manager and external communications supplier.
  • In conjunction with the executive producer and operations manager, manage access to venue catering at all times, including liaison with the venue coffee van.
  • Manage distribution of parking passes as required to members of the production team.
  • Manage the distribution of accreditation to all members of the production team, all VIPs and all principal performers.
  • Respond to all enquiries to the shared Pulse mailbox across final venue rehearsal and performance days.
  • Undertake other production duties as required during final rehearsal and performance period.

  • Manage the sign-on of all massed cast teachers on performance days, including acting as first point of contact for all teachers.
  • Manage the distribution of accreditation to all massed cast teachers, as well as to any members of the production team or VIPs arriving via the massed cast entrance point.
  • Manage the distribution of final information packs to massed cast teachers on arrival.
  • Assist in the distribution of any sponsorship material to massed cast teachers in conjunction with the executive producer, the creative and musical director and the  operations manager.
  • Management of any lost students in conjunction with the massed cast manager and responsibility for their duty of care whilst their teacher is located.
  • Assist the massed cast manager to ensure the safe drop-off and pick-up of students before and after the event.

Principal performer team

These roles work alongside the leadership team during rehearsals in the lead-up to the Pulse Alive, as well as at the event to ensure an exceptional platform is made available for all principal performers.

Principal performer manager
  • Manage duty of care of all principal performers at all times during rehearsals in the lead up to Pulse Alive including marking rolls, administering first aid, and managing individual student needs as appropriate.
  • Liaise with the creative and musical director and the operations manager to ensure all student information is up-to-date at all times, including checking in with students during rehearsals regarding any changes to specific situations.
  • Ensure duty of care of the Pulse Alive showband and principal choir at all times during venue rehearsals and performances including marking rolls, administering first aid, and managing individual student needs as appropriate.
  • Manage the allocation of t-shirts to all principal performers.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

  • Assist with the event bump out as allocated by the operations manager and executive producer.
  • Assist the vocal director to ensure duty of care of vocalists at all times during venue rehearsals and performances including marking rolls, administering first aid, and managing individual student needs as appropriate.

  • Ensure duty of care of all members of the Pulse Alive Dance Company at all times during venue rehearsals and performances including marking rolls, administering first aid, and managing individual student needs as appropriate.

  • Manage additional individual specialist performers (such as circus and soloist dancers) as appropriate during final rehearsals and performances in collaboration with the executive producer and creative and musical director. This may include taking responsibility for duty of care of these performances.

Artistic team

These roles work alongside the leadership team during rehearsals in the lead-up to the Pulse Alive, as well as at the event to ensure an exceptional platform is made available for all principal performers.

Choreographer
  • Choreograph elements of Pulse Alive as allocated.
  • Attend and lead rehearsals as allocated, including virtual rehearsals.
  • Work with the dance director and creative and musical director to create teaching resources for all allocated elements.
  • Work with the dance director and all other choreographers at the Pulse Alive final rehearsals and performances to draw together all dance and cast movement elements of the events and ensure their smooth running.
  • Assist with the event bump out as allocated by the operations manager and executive producer.

  • Assist in the creation of detailed lyrics documents, including detailed vocal allocations, for all songs within Pulse Alive.

  • Assist the choral director in all aspects of their role.
  • Attend all massed choir and principal choir rehearsals.
  • Rehearse and conduct the massed choir for elements of Pulse Alive as allocated by the choral director.
  • Rehearse and direct the Pulse Alive principal choir in rehearsals and performances as allocated by the choral director.
  • Assist the choral director in auditioning and selecting all members of the principal choir and the allocation of students to specific vocal parts.
  • Collaborate with the creative and musical director, dance director and choral director to assist in the development of all choir movement and choralography.
  • Ensure duty of care at all times (including rehearsal breaks) for all members of the Pulse Alive principal choir, including marking rolls and managing individual student needs as appropriate.

  • Create, adapt and rehearse movement material for vocalists under the supervision of the Dance Director and Creative and Musical Director.
  • Work with the Dance Director and all choreographers at the Pulse Alive final rehearsals and performances to draw together all dance and cast movement elements of the events and ensure their smooth running.
  • Assist the Vocal Director in ensuring duty of care at all times for all Pulse Alive vocalists, including marking rolls and managing individual student needs as appropriate.

  • Lead and manage the student comperes for Pulse Alive
  • Audition and select all student comperes in conjunction with the Creative and Musical Director.
  • Work with the student comperes to create scripts for all live compere elements of Pulse Alive.
  • Work with the Creative and Musical Director and Technical Director to decide on hosting locations for Pulse Alive.
  • Stage and floor manage student comperes during Pulse Alive rehearsals and performances.
  • Liaise with the Creative and Musical Director around the creation of video package material for Pulse Alive and manage the involvement of the student comperes in these video packages
  • Provide duty of care at all times for all student comperes, including marking rolls and managing individual student needs as appropriate.

Music team associate
  • Work with the Operations Manager and Creative and Musical Director to ensure the accuracy of all musical arrangements, including editing arrangements as necessary using software including Sibelius, Finale and Dorico. 
  • Create and provide keyboard programming for the Pulse Alive Showband using Mainstage and manage the use of this programming throughout all rehearsals and performances.
  • Assist the Vocal Director and Associate Vocal Director in creating detailed lyrics documents, including detailed vocal allocations, for all songs within Pulse Alive.
  • Liaise with the Technical Director and wider technical teams regarding all musical elements of Pulse Alive.
  • Assist in the setup and bump out of all musical and technical equipment for vocalist, principal choir and showband rehearsals.
  • Assist with the event bump out as allocated by the Operations Manager and Executive Producer.
  • Undertake other production duties as required during rehearsal and performance period.

Rehearsal accompanist
  • Provide piano accompaniment for Pulse Alive rehearsals as allocated.
  • Assist the Creative and Musical Director, Vocal Director, Choral Director, Showband Director and other members of the wider Pulse Alive team in teaching, allocating and maintaining musical elements of the event.

Days required for Pulse Alive 2025

  • Specific dates will be negotiated with the successful personnel.
Showband tutor
  • Provide musical tuition for students in the Pulse Alive showband under the leadership of the Showband Director.
  • Perform as part of the showband for Pulse Alive as allocated by the Showband Director and Creative and Musical Director.
  • Assist with the event bump out as allocated by the Operations Manager and Executive Producer.
  • Assist the Principal Performer Rehearsal Manager and Showband Director in ensuring duty of care at all times (including rehearsal breaks) for all members of the Pulse Alive showband, including marking rolls and managing individual student needs as appropriate.

Pulse Alive tour team

These roles work alongside the leadership team to ensure all local and touring participants in the Pulse Alive tours have the highest quality learning opportunities at all times.

Each tour will have a include a different combination of staff roles depending on the requirements of each individual tour. Staff may nominate for one or more tours.

Tour wellbeing and duty-of-care
  • Ensure duty of care for all touring students at all times, including marking rolls, administering first aid, and managing individual student needs as appropriate.
  • Work closely with students and staff to create a supportive environment at all times on the tour, including addressing any wellbeing concerns.
  • Manage catering for all touring students and staff, including purchasing supplies as necessary and working with the operations manager and executive producer to ensure all touring staff and students have adequate sustenance at all times, accommodating allergies and dietary restrictions as necessary.
  • Attend all student tour activities.
  • Work with all touring staff to ensure the logistical, technical and creative success of all workshops and the final showcase performances of the Pulse tour/s.
Dance workshop tutor
  • Lead dance workshops as allocated on the Pulse Alive tour/s.
  • Work with all touring staff to ensure the logistical, technical and creative success of all workshops and the final showcase performances of the Pulse tour/s.
  • Assist in providing duty of care for all touring students.
Music workshop tutor
  • Lead music workshops as allocated on the Pulse Alive tour/s.
  • Work with all touring staff to ensure the logistical, technical and creative success of all workshops and the final showcase performances of the Pulse Alive tour/s.
  • Assist in providing duty of care for all touring students.
Drama workshop tutor
  • Lead drama workshops as allocated on the Pulse Alive tour/s.
  • Work with all touring staff to ensure the logistical, technical and creative success of all workshops and the final showcase performances of the Pulse Alive tour/s.
  • Assist in providing duty of care for all touring students.
K–2 creative arts workshop tutor
  • Lead K-2 creative arts workshops as allocated on the Pulse Alive tour/s including traveling up to three hours on each day of the tour to different regional locations.
  • Work with all touring staff to ensure the logistical, technical and creative success of all workshops and the final showcase performances of the Pulse Alive tour/s.
  • Assist in providing duty of care for all touring students.
Tour accompanist
  • Lead music workshops as allocated on the Pulse Alive tour/s.
  • Play keyboard 1 with the touring showband for all rehearsals and performances.
  • Accompany additional rehearsals and performances as required.
  • Work with all touring staff to ensure the logistical, technical and creative success of all workshops and the final showcase performances of the Pulse tour/s.
  • Assist in providing duty of care for all touring students.

Leadership team

The Pulse Alive leadership team consists of the following roles, most of which work across both the Pulse Alive event and the Pulse Alive tours. Staff are selected for these roles based on their current role within The Arts Unit and/or previous experience working across multiple TAU and external programs. Executive producer
  • Oversee all financial and operational elements of Pulse Alive and the Pulse Alive tours
  • Oversee and approve staffing, supplier, financial and casting decisions.
  • Oversee the work of all members of the leadership team.
  • Manage all data collection and evaluation processes around the events in conjunction with the creative and musical director and operations manager.
  • Manage all staffing processes and allocate staff for the events in conjunction with the creative and musical director.
  • Manage and oversee all ticketing requirements for the events in conjunction with the creative and musical director.
  • Create and update the digital program/s for the events in conjunction with the operations manager.
  • Approve compere scripts and video packages for the events
  • Manage attendance and briefing of NSW DoE executive at events
Creative and musical director
  • Lead all creative elements of Pulse Alive and the Pulse Alive tours.
  • Create event calendars, including all show milestones, rehearsal and performance dates in conjunction with the operations manager and the executive producer
  • Create, maintain and manage showruns for Pulse Alive and the Pulse Alive tours
  • Choose and edit music for all events in conjunction with the technical director
  • Select and allocate staff for the events in conjunction with the executive producer.
  • Allocate and brief choreographers and directors for items and segments in conjunction with the dance director.
  • Audition and allocate students to principal performer roles in conjunction with the vocal director, choral director, dance director, showband director and student compere mentor.
  • Oversee the work of the lead artistic team – vocal director, choral director, dance director, showband director, drama director and student compere manager.
  • Attend all rehearsals and performances, including managing the live streaming of all massed cast rehearsals in conjunction with the dance director.
  • Liaise with rehearsal and performance venues regarding all elements of the events
  • Create and distribute technical requests for quotation and select technical and event suppliers in conjunction with the technical director, production manager and executive producer.
  • Manage creation of all teaching resources
  • Oversee all design elements for the events including t-shirts/merchandise, signage, lighting, screens and overlay.
  • Oversee all logistical and operational elements of the Pulse Alive tours in conjunction with the operations manager and executive producer.
Operations manager
  • Create and maintain all application forms and data around student, school and teacher participation in Pulse Alive and the Pulse Alive tours.
  • Work with the creative and musical director to create and maintain rehearsal and performance calendars and show milestone dates and communicate these to the wider team as necessary.
  • Manage all communication with participating students, schools and teachers in the lead up to the events.
  • Manage all music arrangement processes in conjunction with the creative and musical director, and collate vocal and showband scores
  • Manage all logistical and operational elements of the Pulse Alive tours, including accommodation, travel, activity and meal bookings in conjunction with the executive producer and creative and musical director.
  • Update and maintain the digital program/s for the events in conjunction with the executive producer.
  • Create plot books in conjunction with the technical director and creative and musical director.
Technical director
  • Oversee all technical aspects of Pulse Alive and the Pulse Alive tours including being the main point of contact for all onsite external technical suppliers in all performance venues.
  • Edit music, record guide and support audio tracks and create click tracks, timecode and audio stems for all musical elements in conjunction with the creative and musical director
  • Create and distribute technical requests for quotation and select technical and event suppliers in conjunction with the creative and musical director, production manager and executive producer.
  • Oversee creation of plot books in conjunction with the operations manager.
  • Create show rundowns for all arena and tour rehearsals, sound checks and shows, in conjunction with the creative and musical director and operations manager.
  • Prepare post-event show reports for evaluation. 
  • Assist in coordination and allocation of student crew on appropriate technical activities
  • Showcall all events, including all venue rehearsals and performances.
Dance director
  • Oversee all dance and movement elements of Pulse Alive and the Pulse Alive tours
  • Work with the creative and musical director to allocate items to choreographers and directors.
  • Supervise the work of all choreographers working on the events and provide mentoring as needed throughout the development, rehearsal and performance processes
  • Attend all massed cast dance and movement rehearsals and lead the setup of audio equipment and equipment related to the live streaming of rehearsals.
  • Choreograph elements of the events as allocated
  • Lead workshops on the Pulse Alive tours as allocated
  • Work with the creative and musical director to create teaching resources for all dance and movement elements across the events
Showband director
  • Rehearse and direct the Pulse Alive showband in rehearsals and performances for Pulse Alive and the Pulse Alive tours, including performing as part of the showband as allocated.
  • Audition and select all members of the showband in conjunction with the creative and musical director.
  • Assist in the selection of showband tutors and oversee their work, including allocating responsibilities as appropriate throughout rehearsal and performance processes.
  • Ensure duty of care at all times for all members of the showband at Pulse Alive, including marking rolls and managing individual student needs as appropriate.
Vocal director
  • Rehearse and direct the Pulse Alive principal vocalists and vocal development group in rehearsals and performances for Pulse Alive and the Pulse Alive tours.
  • Audition and select all vocalists in conjunction with the creative and musical director including the allocation of vocalists to specific songs within the show, and specific lines and parts within songs.
  • Assist in the selection of the Pulse Alive vocal team and oversee their work, including allocating responsibilities as appropriate throughout rehearsal and performance processes.
  • Manage the creation of detailed lyrics documents, including detailed vocal allocations, for all songs within the events
  • Ensure duty of care at all times for all vocalists at Pulse Alive, including marking rolls and managing individual student needs as appropriate.
  • Oversee scheduling and management/direction of any vocal pre-records required, in conjunction with the creative and musical director.
Choral director
  • Rehearse and conduct the massed choir for Pulse Alive.
  • Rehearse and conduct the Pulse Alive principal choir in rehearsals and performances.
  • Attend all massed choir and principal choir rehearsals.
  • Audition and select all members of the principal choir in conjunction with the creative and musical director including the allocation of students to specific vocal parts.
  • Assist in the selection of the Pulse Alive choir artistic team and oversee their work, including allocating responsibilities as appropriate throughout rehearsal and performance processes.
  • Check all choral parts in show arrangements and provide feedback to the operations manager to ensure correct and appropriate choral parts in all arrangements as appropriate.
  • Record teaching resources for the massed choir and principal choir in conjunction with the creative and musical director and technical director.
  • Collaborate with the creative and musical director, dance director and associate choral director to develop all choir movement and choralography.
  • Work with the creative and musical director on direction and scheduling of any pre-recorded choral elements required.
  • Assist the associate choral director in ensuring duty of care at all times for all members of the Pulse Alive principal choir, including marking rolls and managing individual student needs as appropriate.
Drama director
  • Direct drama elements of Pulse Alive as allocated
  • Attend and lead rehearsals as allocated, including virtual rehearsals.
  • Source and purchase appropriate props for the drama elements of Pulse Alive in conjunction with the creative and musical director.
  • Assist the drama ensemble manager in ensuring duty of care at all times for all members of the Pulse Alive drama ensemble, including marking rolls and managing individual student needs as appropriate.
Student crew manager
  • Manage the student crew at all times throughout bump-in, rehearsals, performances and bump-out, including ensuring compliance with student placement records as appropriate.
  • Select and allocate roles to the student crew in conjunction with the technical director, creative and musical director and executive producer.
  • Act as a point of contact for all members of the student crew at all times as well as a point of liaison between all technical suppliers and members of the student crew as necessary.
  • Ensure the safety and wellbeing of the student crew at all times, including managing individual student needs as appropriate.
Technical and vision manager
  • Manage all NSW Department of Education vision and technical equipment in use at Pulse Alive, including the safe transport and secure pack-up of equipment following the event.
  • Liaise with the event vision supplier regarding camera requirements and other technical requirements around the vision operations of Pulse Alive.
  • Provide mentoring to members of the student crew working as part of the vision team.
  • Provide leadership to the external video editor around event requirements and NSW Department of Education compliance.
  • Provide additional technical and production support as required during final rehearsal and performance period.
Massed cast manager
  • Work with the creative and musical director, executive producer and operations manager to create the cast movement plan as well as the rehearsal and performance schedule to ensure the most responsible use of all facilities and staff available.
  • Liaise with the cast movement manager, Netball Central rehearsal manager, arena seating manager, massed choir manager, tunnel manager, technical director, dance director and their teams to ensure safe, timely and appropriate movement of cast to and from the arena floor and seating at all times across rehearsals and performances of Pulse Alive.
  • Manage any duty of care, student supervision and student wellbeing issues that arise in the massed cast and liaise with the executive producer to devise solutions to any ongoing concerns.
  • Liaise with on-site external first aid teams to ensure duty of care for all students and staff.
  • Management of any lost students in conjunction with the sign-on and accreditation manager.
  • Manage the placement of Alphabet Teardrop Banners by the student crew across performance days to ensure safe drop-off and pick-up of students before and after the event.
